WHO | World Health OrganizationThe Office of the WHO Representative in Lao PDR announces the vacancy of a SECRETARY FOR Maternal and Child Health (MCH) Programme.
Duties:
• Screens and routes incoming mail, documents and reports to the supervisor with full background information.
• Takes/transcribes non-technical and technical correspondence, reports, etc., from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural accuracy and format; types reports, studies, including statistical tables, etc. from manuscripts using a word processing equipment.
• Drafts correspondence on routine matters on own initiative or from brief instructions; takes notes at meetings as basis for minutes and assists in providing interpretation as and when required.
• Arranges appointments for supervisor, receives visitors; places and screens telephone calls, responds to routine requests for information, and prepares briefing folders for supervisor’s duty travels.
• Provides secretarial and clerical support to the MCH team, visiting staff and consultants as and when required. Maintains appropriate follow-up system on initiated action.
• Maintains office records, including financial records of project expenditures, filing and reference systems on various subjects.
• Assists in searching, compiling and maintaining information relevant to the programme, including the Plans of Action.
• Provides support in the arrangements for meetings, workshops and training courses, including preparation of related folders.
• Occasionally replaces other secretarial and clerical staff within the country programme division during their absences as coordinated by the Programme and Administrative Officer.
• Performs other related duties as required.
Education:
Equivalent to graduation from secondary school with thorough training in secretarial and clerical duties.
Knowledge & skills:
• Thorough knowledge of office procedures.
• Typing and stenographic skills at required speed.
• Ability to discern routine from non-routine.
• Ability to draft correspondence, summary of meetings and notes for the record.
• Ability to use word processing equipment and adapt to various software applications.
• Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds.
• and maintain a high standards of personal conduct.
Languages:
Excellent knowledge of spoken and written English and the local language.
Experience:
Three years’ experience in secretarial/clerical posts, preferrably, including experience in WHO or in another international organization Interested and qualified candidates are invited to submit applications in the English language, with curriculum vitae,
